Circleback
AI-powered meeting notes and automations
What Circleback does
Circleback helps teams get the most out of every conversation with best-in-class AI-powered meeting notes, action items, automations, and search. For example, Circleback can automatically identify feature requests that come up in product demo calls and create Linear tasks for each of them, or update your CRM with customer details after a sales call. Before Circleback, Ali led the first integration of LLMs into the Stripe support product and Kevin worked on predictive analytics at Tableau as a senior software engineer.

What the role involves
We're looking for a design engineer who obsesses over how software looks and feels to join us in San Francisco. You'll own the product surface end-to-end–from concept to pixel-perfect production code–and make Circleback's design go from really good to elite. What you'll do Most companies split design and engineering into separate roles, separate teams, separate conversations. We don't want that. We want one person who can look at a feature, know how it should work, open Figma, open their editor, and ship it. No handoff. No fidelity gap. What you design is what users get. Circleback already has a product that customers love. Your job is to take that foundation and push it to the level of the best-designed software in the world. That means: Own the design and frontend implementation of features across web (React, Next.js), desktop (Electron, Swift), and mobile (React Native) Deeply understand customer problems and find elegant ways to solve them–Circleback deals in dense, conversational information, and making that feel effortless to navigate is a genuinely hard design problem Craft interactions, animations, and transitions that make the product feel fast and alive Build and evolve our design system–components, patterns, tokens–so quality scales as we ship faster Sweat the details other people skip: loading states, empty states, error states, keyboard shortcuts, hover treatments, the feel of a drag interaction Iterate quickly on experiments around onboarding, activation, and education Work directly with engineers and founders on product direction–you'll shape what we build, not just how it looks Prototype new ideas quickly in code, not just mockups–the best way to evaluate an interaction is to use it Who you are You're a designer who codes or an engineer with exceptional taste–either way, you can take an idea from sketch to shipped product without waiting on anyone else. You build things for fun. You've done this before, and you have a portfolio or shipped work that shows it. You care about craft at a level most people find unreasonable. You'll iterate on an animation curve five times. You'll notice when padding is 3px off. You have strong opinions about typography, color, and spacing–and you can articulate why something feels wrong, not just that it does. You understand that the best product experiences are often invisible. You're fast and pragmatic. You'd rather ship something great today than something perfect next month. You'd rather write a bit more code yourself than adopt a dependency. You're interested in the challenge of making powerful tools without compromising simplicity–and you can keep a broad set of customer perspectives in mind while doing it. You're excited about AI as a tool–both in the product you're designing and in your own workflow. You use things like Cursor or Claude Code and have opinions about how AI should show up in product interfaces. About Circleback Circleback is building the source of truth for everything said at a company–starting with best-in-class AI meeting notes, action items, and search. Every meeting will be AI-enabled. But meeting notes are just the beginning. We're building toward something larger: a platform that captures, organizes, and actions on the context from all conversations across a company–meetings, calls, emails–so teams can actually use what they know. We're a small team backed by Y Combinator. Profitable, growing virally, and thousands of paying customers including PostHog, Browserbase, Gumloop, and more. Why join We ship fast with a high bar for quality Small team, large problem–the product category we're building didn't exist until recently Profitable and growing virally through word of mouth Software that people actually love and use daily If you care about craft and want to build something ambitious with a small team that moves quickly, we'd like to hear from you.
What the role involves
We're looking for an Executive Assistant to keep Circleback running. You'd be the first person in this role, and it's broad by design: you'll work directly with the CEO, manage hiring logistics, the office, our finances, team events, and the experience customers have when they walk in the door. Anything that would otherwise slow the team down becomes yours to solve. We're a small team that ships fast. The constraint is rarely effort–it's time and focus. Your job is to give the team more of both: take work off people's plates and run the operational machine in the background, with the same care we put into the product. This role is in-person at our San Francisco office. What you'll do Run hiring logistics–source candidates, schedule interviews and work trials, and handle onboarding and offboarding Keep payroll and people admin running smoothly Manage office operations–food, drinks, supplies, and vendors (part-time office manager, cleaner, and anyone else we work with) Invite and greet customers for fireside chats every Friday–and make every visit feel effortless and welcoming Give product demos and manage inbound sales (product questions, security questionnaires)–you'll often be the first person a prospective customer talks to Help organize team events and offsites people actually look forward to Help keep our finances in order–expenses, invoices, reimbursements, and working with our bookkeeper Co-ordinate security assessments, certifications, and enterprise customer onboarding Own swag end to end–design, ordering, and inventory Manage CEO's calendar/inbox Who you are You're resourceful and high-agency. You don't wait to be told what to do next–you see what needs doing and handle it. You've juggled a lot of moving pieces before, probably at a startup or in a fast-paced operations or assistant role, and you're the kind of person other people rely on to remember the thing they forgot. You're maniacally organized and detail-orientated. You have a system, and it ensures nothing falls through the cracks–ever. You can hold a dozen competing priorities at once, know which one matters most right now, and bring order to chaos without being asked. You're warm and great with people. You'll be the face of Circleback to customers who visit and to candidates going through our process, and you make both feel taken care of. You're trustworthy with sensitive information–calendars, comp, finances–and you exercise good judgment without needing a rulebook. You care about craft. You treat running an office and a back-office the way a good engineer treats code: build systems that compound, automate the repetitive stuff, and make things a little better every week. What the role involves
We're looking for someone to own marketing at Circleback. You'd be the first person in this role–which means there's no playbook and no existing team. Just a product people love and a lot of room to run. Once people start using Circleback, they stick around. Retention is incredibly high. The challenge isn't convincing people the product is good–it's getting it in front of more people in the first place. You'd figure out how to do that: find creative ways to grow awareness, make the brand match the quality of the product, build buzz around what we're shipping, and build the systems that turn attention into customers. What you'll do Find creative, scrappy ways to get Circleback in front of more people–the product sells itself once people try it, so the job is figuring out distribution Build and run growth experiments across channels (paid, organic, community, partnerships, content) with a bias toward finding what actually scales, not just what looks busy Drum up buzz for product launches–coordinate releases, build anticipation, and make sure the right people know about what we're shipping Define and own Circleback's brand positioning and messaging–figure out what we want people to think when they see Circleback, and make that show up consistently everywhere Map the user journey from first touch to company-wide deployment, identify where people drop off, and work with the team to fix it Set up automated growth systems (retargeting, intent-based lead capture, website conversion tools) that compound over time Dig into product and user data to inform decisions about who to target, what's working, and where the biggest opportunities are Explore sales-assisted motions for expanding within companies that already have individual users on Circleback Work with contractors or agencies as needed for design, ads, or other specialized work Who you are You've done this before at an early-stage company–owned the full marketing function, not just a piece of it. You're comfortable with brand and positioning work but equally excited about running experiments, building automations, and looking at data. You move fast, you're resourceful, and you don't need someone to tell you what to do next. You have strong opinions about what good marketing looks like but hold them loosely enough to let results change your mind. You can write well, think clearly about positioning, and know how to make a product feel like it belongs in a category of its own. Although a design background is not required, we do expect a strong sense of taste and attention to detail in how the brand shows up publicly. What the role involves
We're looking for a software engineer who take pride in their craft and love to ship to join us in San Francisco. What you'll do The problems here are genuinely new. How do you proactively surface useful context across thousands of conversations? How do you package that into a product experience that feels magic, not noisy? These are greenfield problems–no established playbook, lots of room to define the right approach. Day to day, you'll: Ship end-to-end across our web (React, Next.js), desktop (Electron, Swift), and mobile apps (React Native)–from database models to API endpoints to UI Design and architect new systems while raising the bar for code quality Drive product and technical decisions, not just implement them Work on hard foundations: AI-powered outcomes, search, transcription, on-device recording, performance, automations Experiment with the latest AI models and techniques–we ship AI features constantly and need engineers who stay curious about what's newly possible Build processes and tools that make the whole team more productive over time Who you are You've built and shipped software at a high level before. You have strong product sense–you notice details, you have opinions about how things should work, and you can mentor other engineers through code review and technical guidance. You're drawn to work that compounds. On the team side: you'd rather spend an extra half-hour building something reusable than copy-paste your way to done. You think about how decisions today affect velocity next month. On the product side: our foundations stack on each other–better transcription means better AI outcomes, which means better search and automations. And when the product gets noticeably better, people tell their friends–that's how we grow.

What the role involves
We're looking for a software engineer with strong product sense and sharp technical judgment to join us in San Francisco. What you'll do You'll take on a problem, figure out the right approach, build it across the full stack, and ship it. That requires good judgment. It means understanding how a feature connects to everything else, both technically and from a product standpoint. Our foundations stack on each other: better transcription means better AI outcomes, which means better search and automations. An engineer who builds in isolation here will build the wrong thing. You'll ship across web (React, Next.js), desktop (Electron, Swift), mobile (React Native), and backend. You'll work on AI-powered outcomes, search, transcription, on-device recording, performance, and automations. You'll experiment with new AI models and techniques. And you'll raise the bar for the team through code review and building reusable tools. We're a small team that moves fast. You'll ship real features to thousands of paying customers every week, not sit in planning meetings. Who you are 3-5 years of experience building and shipping software, preferably at startups. You've made real decisions, not just about implementation, but about what the right product and technical approach was. An eye for detail. Strong opinions about how things should work. The kind of person who thinks about how something fits into the bigger picture, not just whether the code works. Drawn to work that compounds. Curious how great products work. AI-native. The way software gets built is changing fast (exciting). Not just keeping up, but at the frontier. Always looking for ways to get better at doing the work, not just doing the work.
